Scanned Attendance

You can mark a singer as "present" by scanning their personal QR code right inside our app! No more sign-in sheets or manually checking singers in.

Go to: Manage > Attendance > Settings to turn it on, then Manage > Attendance > Take Attendance to scan (Admins & Managers Only)

What is Scanned Attendance?

Scanned Attendance is an optional way to take attendance in Chorus Connection. Instead of (or alongside) tapping/clicking singers on a roster to check them in, an Admin/Manager can open the Chorus Connection mobile app, point their device's camera at a singer's personal QR code to scan it and mark them as present in just a few seconds.

A few things to know up front:

  • Scanning only works in the Chorus Connection mobile app (iOS and Android). Members can view their personal QR code from either the mobile app or the web app, but the camera scanning step happens only on a phone or tablet running the mobile app.
  • You need to be connected to the internet. Scanned attendance requires an internet connection — just like all the features in the app. Either WiFi or a good cellular connection will work just fine.
  • It only works for events already underway — you can't pre-scan attendance for a future rehearsal or concert.
  • It's optional. Nothing changes for a chorus until an Admin/Manager turns on scanned attendance.

Currently in beta: Attendance scanning is currently in beta. It works really well, but you may notice some rough edges while we keep refining it. Please let us know what you think. Your feedback shapes what we polish next!

Turning On Scanned Attendance

An Admin/Manager needs to enable the feature before anyone can start scanning for any rehearsal. 

  • On the website: Go to Manage > Attendance and hit the Settings button then toggle Scanned Attendance on.

  • In the mobile app: Tap the  [︙] button at the top right of the screen and choose Scanned Attendance then toggle Scanned Attendance on.

Note: Turning on Scanned Attendance doesn't take away any of the existing attendance features. You can still tap names on the roster to take attendance — scanning is an added option you can use alongside the current features.

Where Members Find Their Code

Once Scanned Attendance is on for your organization, every member automatically gets a personal QR code:

  • On mobile: a "My Attendance Code" button shows up right on the dashboard.
  • On the web app: under the My Account menu, just below My Profile.

Tapping or clicking it opens the QR code along with the member's name and section/voice part. Members don't need to do anything to prepare — they just pull up their code and hold it steady for the person scanning.

For Youth Choirs: Parents/Guardians of singers in a youth chorus will see My Attendance Codes (plural) — one QR code per family member. They'll simply tap the name of the singer they're checking in to display that singer's code. If they have more than one child attending the rehearsal, they'll open and scan one QR code for each child. 

Taking Attendance by Scanning

In the mobile app, tap the [] More button and choose Attendance from the Manage section of the menu. Choose your Concert cycle, choose the date you need, and tap the new Scan button to launch the scanner.

Note: Scanning only works in the Chorus Connection mobile app.

  • Choose how many points to assign for each scan: Almost always its 1 point to mark someone as present. But, after rehearsal has started, maybe your attendance policy gives partial credit for latecomers. You can start scanning again with a value of .5 points to give partial credit for the latecomers.
  • Set an Optional Unlock Code: This is great if you have self-serve tablet or other device set up as a check-in station. You set a code to start scanning, and you have to enter the same code to stop scanning. Like a 4-digit PIN. This isn't meant to be strict security; it's just a bit protection from stray taps that might close your scanning session by mistake.

Scanning Member QR Codes

Point the camera at a singer's code and the app will identify and scan the QR code automatically. (There's no shutter button to press.)

  • A green alert with the singer's name confirms a successful check-in.
  • An orange alert means something needs attention — like, for a singer who isn't on this event's roster yet, or if you've lost your internet connection.
  • Scan count and history: While you're scanning, you'll see the history icon count up with each scan. Tap the icon to see everyone you've scanned on that device so far during the check-in session.
  • Double-scans: Scanning a singer more than once doesn't do any harm. They'll only be marked "present" once. However, each scan will appear in the export of your scan log.

Note: The app keeps your phone awake while it scans. So, your device won't go to sleep automatically while you're scanning. 

Reviewing & Exporting Scan Logs

Every scan is kept as a time-stamped entry in the scan log. This is separate from your attendance sheet. You can access the scan log export in the app or when using a browser.

In a browser: From Manage > Attendance > [Event],

In the app: use the menu and choose Export Scan Logs to download who was scanned, and when, most recent first.

Note: This is a log of scanning activity, not a replacement for your regular attendance export — use that for a member's current/up-to-date attendance record.

Tips & Troubleshooting

  • "Not on this concert roster" error: Add the singer to the event roster and have them try again — no harm is done by the failed attempt.
  • Camera access prompt: The first time anyone scans, the app will ask for camera permission. If it was accidentally denied, it can be re-enabled in the phone's system settings for Chorus Connection.
  • Tablet Scanning: If you have trouble scanning QR codes on an iPad/tablet, try rotating the device between portrait and landscape orientation. Some devices scan more reliably in the portrait orientation.
  • Bulk Updates: Bulk updates will modify scans that you've already logged. So, if you hit Clear Points, that will clear points of everyone who has scanned in for the rehearsal. But, never fear, you can always find and export your log of scans for every rehearsal if you need back up. 
  • Scan button is greyed out: Either Scanned Attendance isn't turned on for your organization yet (check Manage > Attendance > Settings), you're on the web app instead of mobile, or you're trying to scan a future event.
